This policy covers the Oakwood9 Android app and the Oakwood Golf website at golf.oakwoodtest.com, both operated by Oakwood Resort, The Oakwood 9, Grand Bend, Ontario.
Account details. When you create an account we store your first and last name, email address, and — if you provide one — your phone number. Your password is handled by our authentication provider and is never visible to us.
Golf activity. Tee time bookings, rounds and hole-by-hole scores, league and tournament entries and scores, equipment rentals, and any notes you record in your diary.
AI Coach conversations. Messages you send to the AI Coach, along with the round and score data needed to answer them, are stored so you can revisit past sessions.
Notification tokens. If you enable tee time reminders, we store a device token so we can deliver them, plus your reminder preferences.
Payments. Card details are entered directly into our payment processor and never reach our systems. We retain only the amount, currency, status, and the processor's reference for each transaction.
The app asks for location permission for one purpose: measuring your distance to the green while you play a hole. When you tap to measure, the app takes a single GPS reading and calculates the yardage on your device.
Your location is never transmitted to us, stored, or shared with anyone. It exists only for the moment the distance is calculated. The app does not track your location in the background, and declining the permission only disables the distance feature.
To manage your account and bookings, record your scores and standings, deliver the tee time reminders you ask for, answer your AI Coach questions, process payments, and operate and improve the app and site. We do not sell your information, and we do not use it for advertising.
We share information only with the service providers needed to run the app, and only as much as each one needs:
We may also disclose information where the law requires it, or to protect the safety and rights of our golfers and staff.
We keep your account and golf history for as long as your account is open, so your scores and standings stay intact across seasons. Payment records are kept as long as tax and accounting rules require. If you delete your account, we remove your personal information and either delete or anonymize the rest.
You can view and update your details at any time from the account screen, and turn tee time reminders off there or in your device settings. Location permission can be withdrawn from your device settings.
To request a copy of your data, or to delete your account and the data associated with it, email smyatte@oakwoodresort.ca from the address on your account. We will action deletion requests within 30 days.
The app is intended for golfers booking and recording their own play, and is not directed at children under 13. Junior golfers are normally booked and scored under a parent or guardian’s account. If you believe a child has created an account, contact us and we will remove it.
If we change this policy we will update the date above, and note anything significant in the app.
